- This policy covers both Hosts (who buy StayReel for a property) and Guests (who use the Guest Page).
- We collect what we need to photograph a property, build and host its Guest Page, take payment, and show how the page is used.
- From Guests we collect page-use events, device/security data, email addresses supplied for delivery, photos, finished reels and permission records. Photos, reels and email addresses are personal information, not anonymous data.
- We don’t sell personal information, and we never auto-post to anyone’s social accounts.
- A delivered guest reel stays private unless that guest separately allows private host viewing for that reel. This does not allow downloading, reposting or marketing. Organic social reposting is currently unavailable.

1. About this policy
1.1 Who we are. StayReel (“StayReel”, “we”, “us”, “our”) is the trading name used by Jennifer Wilde, a New Zealand sole trader, for this New Zealand pilot. Jennifer Wilde trading as StayReel is responsible for the personal information handled under this policy. Our physical contact address is Level 2, 85 Beach Street, Queenstown 9300, New Zealand.
1.2 Who and what this covers. This policy applies to our websites, the Host onboarding and dashboard, and the guest-facing marked photo spots, capture flow and reel (the “Guest Page”). “Host” means a person or business that buys the service for a property; “Guest” means an adult who uses the Guest Page. It works alongside our Host Terms of Service and the Guest Notice. The current pilot is offered for New Zealand properties only.
1.3 Key terms. “Property Content” means the photos, drone clips and footage we capture of a property. “Guest Content” means the photos, videos and reels a Guest creates using the Guest Page.
2. Information we collect
2.1 From Hosts. Name and business details; email and phone; the property name, address and access information (for example entry method and codes); social handles (such as Instagram); the details you give us at onboarding; billing information (card payments are processed by our payment provider, Stripe; we don’t store full card numbers); and any backup-contact details you choose to share (for example a cleaner or co-host).
2.2 From Guests. Page-use and event data such as scans, spots viewed, reels requested, provider-accepted deliveries, saves and opens; general device, browser, security and truncated network information; the photos and other content you provide; your email address when you ask us to produce or deliver a reel; the exact notice version and time recorded for that request; per-reel permission choices; and contact details you provide for support. Event data may be pseudonymous until it is connected with an email or media, but it is not treated as anonymous while StayReel can link it to a guest session.
2.3 Location. To show the right golden-hour and sunset times, the Guest Page uses the Property’s location and the date. If a feature uses your device’s location (for example a “you are here” dot), it asks your permission first and you can decline.
2.4 Automatically. Like most websites, we and our providers may use cookies and similar technologies, and collect information such as IP address and device data, for security, basic analytics and to make the service work. See section 12 and our Cookie Notice.
2.5 Other adults shown in Guest Content. We may receive an adult's image indirectly when a Guest uploads content containing them. The Guest must first tell every identifiable person that StayReel will collect and hold the content to manually create and privately deliver a reel, that an authorised editor and administrators may access it, and that the named Property may see the finished reel only if the Guest later opts in. They can ask StayReel for access, correction or deletion using the contact in section 14. If we learn that a person was not aware or did not agree, we may suspend production and access, remove the content, and take reasonable steps to notify them where required and reasonably practicable.
3. How we use information
We use personal information to:
- photograph a property and produce, host and update its Guest Page, marked photo spots and reels;
- manually produce, privately deliver and let a Guest save their requested reel;
- provide Hosts with analytics and reports (the guest figures we show Hosts are aggregated and anonymous);
- take payment, manage subscriptions and provide support;
- operate, improve and promote the service, including using Property Content in our own marketing (Hosts can opt out); we use Guest Content in our marketing only where the Guest has given a separate, explicit marketing permission;
- keep the service secure and meet legal obligations.
4. Guest Content and consent
Guests retain their rights in the photos and videos they provide. When a Guest deliberately asks us to make or deliver a reel, they give StayReel and its authorised editor a limited, worldwide, royalty-free licence to securely copy, crop, sequence, edit, store and privately deliver that content only for the requested StayReel service, safety, support and legal record-keeping. The licence is not a marketing or social-reposting permission. A finished reel may also contain StayReel editing, templates and Property Content, and is delivered under the personal, non-commercial licence in the Guest Notice. Pilot deliverables must contain no audio. A Guest may separately allow the named Property’s authorised users to view one delivered reel privately in StayReel. That choice is off by default, can be revoked from the same private page, and does not allow download, recording, reposting, advertising, listings or other use. Organic social reposting and StayReel marketing permission are not offered in this workflow.
5. When we share information
We do not sell personal information. We share it only as needed:
- Authorised StayReel administrators and editors who need access to produce or support the requested service, and service providers who help us run it under confidentiality, security and data-handling requirements, for example payment processing (Stripe), private storage, hosting, database, security, analytics and email delivery.
- The Host, for their property: aggregated, anonymous guest statistics and, only when a Guest turns on the per-reel choice, short-lived private viewing of that delivered reel without the Guest’s email address, source photos or a download right.
- Legal and safety reasons, where we must comply with the law, enforce our terms, or protect people’s rights and safety.
- Business transfers, if our business is sold or reorganised, information may transfer with it, subject to this policy.
6. Sending information overseas
Some service providers may store or process personal information outside New Zealand. Before disclosing personal information to an overseas recipient, we use the safeguards required by New Zealand Information Privacy Principle 12: for example, confirming that New Zealand law or comparable protections apply, or using a binding agreement that requires comparable safeguards. If those safeguards are not available and an exception does not apply, we will first explain the different protection and ask for express authorisation.
7. How long we keep it
We do not keep personal information merely because it may be useful someday. Host/account and payment records are kept while the service is active and afterwards only for support, dispute, tax and other legal record periods. Guest source photos, email addresses and finished reels are kept only while needed to produce, deliver and support the requested reel, honour an active private-view choice, resolve a safety issue or comply with law. Short-lived access links expire much sooner: guest reel links within 30 minutes and host-view links within five minutes. Operational diagnostics are reviewed for deletion after 90 days. Permission and minimum audit evidence are reviewed after the associated content/permission ends and ordinarily removed or de-identified after a further 24 months unless a verified deletion request, unresolved dispute or legal hold changes that period. During the pilot an authorised administrator performs and records a monthly retention review; StayReel does not claim that deletion is automatic.
8. How we protect it
We use private storage, role and property checks, short-lived signed links, restricted administrator/editor access, immutable reel versions and privacy-safe audit records as reasonable safeguards. We handle access details (such as lockbox or alarm codes) with particular care and use them only to deliver the service. No method of storage or transmission is completely secure. If a breach is likely to cause serious harm, we will notify New Zealand's Privacy Commissioner and affected people as soon as practicable; our incident target is within 72 hours of becoming aware.
9. Your choices and rights
9.1 Access and correction. You can ask to access or correct the personal information we hold about you. We will respond as required by law.
9.2 Deletion and permission requests. You can ask us to delete personal information or stop a use or disclosure. We will verify the request, act where required or reasonably able, and explain any information we must retain. A delivered Guest can turn private Property viewing off on the same private page. 9.3 Complaints. If you have a concern, contact us first and we’ll try to put it right. You can also complain to New Zealand's Office of the Privacy Commissioner at privacy.org.nz.
10. Children
The pilot is adults-only. Do not upload content that identifies or depicts anyone under 18. Do not upload intimate, sexual, health, identity-document, financial, illegal or similarly sensitive content. If we identify or are told about prohibited content, we may immediately suspend production and all viewing, investigate, securely remove it and preserve only the minimum evidence required for safety or law. 11. No guarantee of results
Separate from privacy: as set out in our Host Terms of Service, we provide content and tools and do not guarantee bookings, occupancy, reach or social-media results.
12. Cookies and analytics
We keep cookies and tracking to a minimum, mainly what makes the site work and basic, privacy-respecting analytics. You can control cookies through your browser settings, and our Cookie Notice explains more.
13. Changes to this policy
We may update this policy from time to time. We’ll post the updated version with a new date, and where a change is significant we’ll give reasonable notice.
